Dental Practices

In short: Built for dental offices whose front desk is already busy with the patient in front of them. We answer in your practice’s name, book hygiene and treatment visits, take new-patient details, and follow your protocol for dental emergencies, with inbound coverage available 24/7.

Your front desk is checking in a patient, confirming tomorrow’s hygiene schedule, and explaining a treatment plan — while three calls roll to voicemail. One of them is a new patient in pain. Softwave Communications is a dental answering service that picks up where your front desk physically cannot: appointments booked, new patients welcomed properly, and after-hours emergencies sorted by your protocol instead of a mailbox.

Serving dental practices across Connecticut and the United States.

A missed call at a dental practice is a patient who books elsewhere

New patients rarely shop for a dentist twice. They search, they call the first practice that sounds right, and if nobody answers, they call the second. During busy chair-side hours the front desk cannot reach every ring, and a caller who hits voicemail can simply move on — patients in pain fastest of all.

The stakes are long-term. A new patient can stay with a practice for years, through hygiene recalls, treatment, and family members who follow. The phone call that brings that patient in costs almost nothing to answer — but only if someone answers it. That is the entire job of a virtual receptionist for dentists: make sure the front desk’s busiest hour is never the moment your next patient gives up.

What we handle for dental practices

Here is what we handle as your dental office answering service:

  • Appointment booking and rescheduling — Hygiene appointments booked to each provider’s rules — the right block length, the right hygienist, the right operatory flow. Treatment appointments scheduled per your plan sequencing. Cancellations refilled and reschedules handled on the call, so a gap in tomorrow’s book gets offered before the caller hangs up.
  • New-patient intake — First-time callers get the full welcome, not a rushed message pad. We capture the details your intake process needs: reason for the visit, timing, how they found you, and the contact information your team needs to prepare their record and confirm them before the appointment.
  • Insurance questions — details taken, answers routed — Patients ask about insurance on nearly every first call. Our agents collect the subscriber details and the exact question, then route it to your team for verification. Agents never quote coverage, never guess at benefits, and never tell a patient something your practice has not verified. The patient hears “we will confirm that for you” — and your team gets everything needed to do it.
  • Recall and reminder follow-up calls — Lapsed hygiene patients and unscheduled treatment plans are revenue sitting in your own charts. We work your recall lists on the schedule you set — friendly reminder calls that put patients back in the chair — as well as day-before confirmations that cut no-shows.
  • After-hours dental emergency triage — A broken tooth at 8 p.m. is not the same call as a billing question. We sort after-hours calls using your practice’s own emergency definitions — pain, swelling, trauma, a lost crown — and route true emergencies the way your protocol says: to the on-call dentist, by the contact method you choose. Everything else is booked for the next business day, with the details waiting for your team in the morning.
  • Overflow answering during chair-side hours — When the front desk is with a patient, mid-procedure support, or buried in the lunch-hour rush, calls roll to us instead of to voicemail. Your in-office team stays present for the patients in the building; no caller gets the machine.

How it works

Step 1 — We learn your practice’s rules

Booking lengths per provider, intake fields, your emergency definitions and on-call rotation, how insurance questions get routed. It goes into a script you approve before a single call is answered.

Step 2 — You forward the calls you choose

All day, overflow only, or after hours — a practical starting point is overflow plus evenings, when the gap between “office closed” and “patient in pain” is widest.

Step 3 — We book, capture, and route

Patients reach a person who sounds like your front desk. Appointments land in your system or booking path, new-patient details arrive complete, and emergencies follow your escalation rules to the letter.

Privacy and coverage — stated plainly

Patient information is handled carefully: agents work from your script, collect only what your process asks for, and pass details through the channels you approve. Insurance and clinical questions are never answered off-script — they are captured and routed to your team, every time.

Coverage itself is just as plainly defined: Softwave Communications is a 24/7 answering service when your practice needs one, or covers only the hours you choose. Choose 24 hour answering service coverage and a person answers every call; choose the evening and weekend window, or business-hours overflow only, and that is exactly what we cover. Nights and weekends only? Our after-hours answering for dental practices covers just that window.

Frequently asked questions

How much does a dental answering service cost?

Plans start at $149 a month for 100 minutes on Starter, with Growth at $299 for 250 minutes, Pro at $539 for 500 minutes, and pay-as-you-go at $29 a month plus $1.55 a minute. Choose the plan closest to the usual monthly call minutes at your practice; unused minutes roll over for 30 days, and you can switch plans anytime. Every price is published on our pricing page.

Can you book into our practice management system?

We book through the calendar or booking path you give us, and capture appointments in the format your front desk works from. If direct system access is part of your setup, we agree the exact workflow during onboarding and follow it on every call.

What counts as a dental emergency on an after-hours call?

Whatever your practice says counts. During setup we record your definitions — typically things like uncontrolled pain, swelling, trauma, or a broken tooth — and your instructions for each: reach the on-call dentist now, or book the first slot tomorrow. Callers outside those definitions are booked or messaged, never triaged by guesswork.

Will patients know they have reached an answering service?

They will hear your practice’s name and a person who books them the way your front desk would. The goal is that the call feels like your office on a calm day — because that is what the script is built to reproduce.

Is this the same as a dental call center?

Not in the big-queue sense. A dental call center usually puts your callers in line behind hundreds of other accounts. Softwave Communications is a small team answering from your script, in your company name, 24/7 or during the hours you choose.
